Description & Requirements

FORVIS is looking for an organized and self-motivated Administrative Specialist to be responsible for providing administrative support to our office personnel. As an Administrative Specialist, you will work closely with our Administration team by handling clerical duties, proofreading, and formatting professional documents, and offering additional assistance where it is needed. 

 


How you will contribute:  

  • Merging, E-file, and processing business and individual tax returns including printing, binding, and assembly, utilizing firm-determined processes and procedures and tracking systems to ensure all data is entered.
  • Scanning documents as needed, including SurePrep usage
  • Developing, formatting, and editing letters, reports, and other documents in Microsoft applications
  • Creating, editing, and formatting .pdf files using Adobe 
  • Document management and maintenance via SharePoint and PFX Engagement.
  • Using extensive knowledge of internal business practices and priorities to proactively respond to daily issues and requests as authorized, keeping them apprised of critical issues
  • Utilizing tracking systems to ensure all time and materials are recorded, project work and type are tracked, and project instructions and client interactions are fully documented.
  • Scheduling meetings/training for the tax department
  • Mail Room processing – FedEx, certified, priority mail packages
  • Fulfilling print and copy requests 
  • Filing and scanning audit confirmations
  • Copying, folding, and stuffing mailers 
  • Helping with proofreading of audit reports
  • Binding audit and cost reports and PowerPoints
  • Providing administrative assistance to partners for special projects 
  • Fulfilling reception/hospitality duties as a backup to the Receptionist 
  • Assisting in other administrative areas, including Report Processing, Tax Processing, and Office Services

Minimum Qualifications: 

  • Advanced knowledge of Microsoft Office Suite and Adobe
  • High School Diploma 
  • 1 year or more of relevant experience
